3. Registration

3.1 Registration Protocols

Registration for courses is conducted by the Office of Academic Records. Students register online according the schedule set by that office. EdD and CPhD students are registered by the LEAD Office for the first term of study, but must register online for all following terms. PhD students register themselves for all terms of study beginning with the first term.

The student account must be paid in full-to-date at the time of the start of an academic term in order for registration to remain valid. An outstanding balance on a student account at the beginning of a term will result in the automatic cancellation of registration for that term. Late registration will then apply to re-register as set by the Office of Academic Records.

Changes to online registered courses can be made until online registration closes. Thereafter students may make changes during late registration as directed by the Office of Academic Records, but additional fees may be incurred.

Students are strongly encouraged to have a valid health insurance policy at the time of the online registration process and enter that information in the appropriate registration field.

The Annuity Board of the Southern Baptist Convention makes its health insurance available to students. Please contact Student Life for information on how to purchase this health insurance if desired.

3.2 Tuition Payments

Detailed information on paying the student account is available in the online registration materials provided by Academic Records, or by contacting Accounting Services at (502) 897-4132.

EdD and CPhD students pay a one-time, non-refundable deposit, plus three-year monthly payment plan. The CPhD program is four years in length, but payment is made over a three year period.  Resident PhD students pay tuition at the time of registration or make short-term monthly payment arrangements.

Students must keep their account paid in full in order to be able to enroll in the next academic term. Payment on the student account must be made in a timely fashion to avoid penalty fees.

Please do not wait for the monthly statement to arrive from Accounting Services to make a monthly payment as the statement only reflects account activity and is not a billing statement. Failure to do so can result in penalty fees.

Students unsure of the payment amount due as a result of financial aid received from other sources should contact Accounting Services.

Check payments to the student account should include the student’s full name and SBTS ID number to insure the correct account is credited properly.

For specific details of charges and payment schedules for the EdD and CPhD click on the link below.  For details on charges related to the resident PhD program, see the current Southern Seminary catalog.

3.3 Loans, Grants, and Scholarships

Loans from Southern Seminary are not available until after registration is completed. Information on student loans should be addressed to Financial Aid at (502) 897-4206 prior to registration.

Information on the limited number of grants and scholarships offered by Southern Seminary is available through the Office of Financial Aid. The Financial Aid Office works in conjunction with the Office of Student Life in the awarding of grants and scholarships.

All available grants have been included in the EdD and CPhD program tuition and fees.

3.4 Deferment of Student Loan Payments

Under federal law, the deferment of student loans cannot be verified until after registration is completed. Students must be enrolled in a minimum of nine (9) credit hours to be eligible for deferment.

3.5 Student Photo ID and Campus Directory

Resident PhD students will receive a Photo ID Card during the first term on campus.  Students in the EdD and CPhD will receive a Photo ID during their first term in July.  This card gives the student access to the Boyce Library, the Health and Recreation Center, and online registration.

The Southern Seminary Campus Directory features photos and contact information of each campus-based student of Southern Seminary. Thus only contact information is listed for EdD and CPhD students since the program is Internet-enhanced rather than campus-based.

3.6 Campus Parking

Students must follow all parking regulations and pay parking fees as required by the seminary. Temporary parking permits are distributed to EdD and CPhD students during the first session of the first research seminar each time the student is on campus. Resident PhD students register for a parking permit online or as instructed by Campus Security at (502) 897-4459 or (800) 626-5525 x4459.

Students enrolled in the EdD and CPhD can avoid parking fines prior to receiving a temporary parking permit by putting a note in their car window indicating they are with the EdD or CPhD program, and the date of the first seminar when the parking permits will be issued.

3.7 On-Campus Housing and Accommodations

The Seminary has a limited number of student housing options for PhD students seeking campus-related housing during the program of study. For current information on availability and rental fees, please contact the Housing Office at (502) 897-4203 or (800) 626-5525 x4203.

Rooms are available on campus in the Legacy Conference Center for EdD and PhD students seeking on campus housing during the research seminars. For current information on rates and fees, please contact The Legacy Center at (502) 736-0600 or toll free at (877) 444-7287.  You can also email The Legacy Center at legacycenter@sbts.edu.

Students should be sure to inform the Registration Desk they are an EdD or CPhD student attending on-campus seminars in order to obtain a special rate on conference center housing.
